Divisions

The New Jersey Counseling Association is a nonprofit 501 C6 organization registered with the State of New Jersey and the IRS. The Divisions within NJCA serve in a committee structure and therefore have no reporting responsibilities to the State of New Jersey or the IRS. NJCA is the legal entity that has that responsibility.

The NJCA has authorized $300.00 for each active division for purposes of sending division officers to a conference (national or other) of their choice and related to their work with their division and the NJCA. This allocation is per fiscal year as long as the NJCA budget can support the expenditure. Requests for this allocation must be made at least 30 days in advance and must be reviewed by the division treasurer as well and then directed to the NJCA Executive Committee (President, President Elect, Past President, Treasurer, Secretary and Executive Director) . The Executive Committee will review and approve those requests in a timely fashion.

The NJCA has also allocated $300.00 per fiscal year for divisions for meetings – this money has been typically used to pay for food costs. Preauthorization is also required for this expenditure – 30 days in advance.

Guidelines

All requests for reimbursement must be signed off on by the division president and treasurer and then submitted to NJCA for review and approval.

If a division plans to run a conference, they must submit a proposal form to the NJCA Executive Committee which outlines the income, expected attendance and expenses of the conference. This form must also be submitted to the NJCA Executive Committee for approval. The division must also contact the CE Chair to make arrangements for awarding of CEs according to the NBCC rules we must follow as an NBCC provider.

All divisions have webpages available on the NJCA website exclusively for their use. Divisions can forward the information they want on the website to the Executive Director, Chair of the Communications and Social Media Committee and Membership Manager. There is a blog feature on the website for each division. NJCA staff interfaces with the website company to make the postings in a timely manner.

NJCA staff can assist divisions with eblasts about division events and meetings, we can provide labels for mailing and handle the mailing task as well. NJCA staff can assist with meeting planning and budgeting. Email lists are not available to divisions.

All divisions can send to NJCA a listing of all board meetings and other meetings which can be listed on the calendar on the website so members are aware of the activities of the divisions.

NJCA must be listed on all publications of divisions – since NJCA is the legally incorporated business. NJCA can be listed as a co-sponsor or the group can add “a division of NJCA”.
